Annual renewal of enrolment in the Graduate School

The typical length of a doctoral thesis is three years. An extension can be granted by the head of the University. The candidate should submit a justification for an extension, which needs to be approved by the PhD supervisor and the Graduate School board. The director of the Graduate School can then apply for an extension with the head of the University. (Decree from August 7th, 2006 a. 15).

The administrative enrolment has to be renewed every year (decree from August 7th, 2006 a. 14). Students who fail to enroll will be considered as having abandoned their thesis. Accordingly, the PhD thesis can only be submitted if the candidate has been registered for the current year.

2nd and 3rd year enrolment

The student needs to provide:

  • The doctorate evaluation form for 2nd year enrolment (Word doc) or for 3rd year enrolment (Word doc) in which the student and its supervisor annually report the progress of the PhD work.
    This document has to be downloaded from the eCandidat application by connecting to https://ecandidat.univ-cotedazur.fr, filled, signed by the student's supervisor, filed on eCandidat application and transmitted.
The Doctorate evaluation form signed by the supervisor has to be filed on eCandidat application:
BEFORE September 1st, 2019

4th or 5th enrolment extension

The student needs to provide:

  • The form Request for an extension of the duration of the PhD (PDF form) to be filled online (no manually filled form will be accepted), printed, dated, and signed by the student. After their assessment, the form needs to be signed by the student's supervisor and the head of the laboratory.
  • A 5-10 page statement written by the student that should describe in detail the progress of the PhD work and should include an exhaustive list of the student's publications (in preparation, submitted or accepted). The document has to be signed by the student's supervisor and by the head of the laboratory.
  • A letter signed by both the student and his/her supervisor that clearly states
    • The motives for the delay in the PhD
    • Information on the funding obtained for the 4th year
    • The expected date for the PhD defence
  • Any other document explaining the reasons for the delay (employer's certificate, medical certificate ...)
DEADLINE for requesting a 4th or 5th year enrolment extension:
SEPTEMBER 1st, 2019

The form Request for an extension of the duration of the PhD has to be downloaded from the eCandidat application by connecting to https://ecandidat.univ-cotedazur.fr, filed on eCandidat application with the 5-10 page statement and letter (and other document), and transmitted.

The request for an extension of the duration of the PhD will be examined by the Graduate School board based on the supplied documents.

The Graduate School will inform the student of its decision.

An interview, which will take place on September 26th, 2019, might be requested:

  • for students requesting a 4th year enrolment extension, and for which the Graduate School has not made a direct decision
  • for students requesting a 5th year enrolment extension

Altogether, the duration of the PhD will never exceed six years, i.e. twice the recommended duration.

If the extension has been granted, the PhD student must enroll shortly after approval.
